  • AI-assisted clinical documentation tools (see Section 4).

Important Note: Provision of this information is necessary for us to provide you with psychological services. If you choose not to provide the information required for safe clinical practice (including identity, contact, and safety details), we may be unable to provide services to you.

2. Purpose of Collecting Information

Your personal information is collected for purposes such as:

  • Delivering psychological assessment, diagnosis, and treatment.
  • Coordinating care with other professionals (e.g., GP Mental Health Treatment Plans). Note: Only applicable if you have provided specific consent.
  • Processing Medicare rebates or insurance claims.
  • Administrative functions such as appointment scheduling and billing.
  • Meeting professional, legal, and ethical obligations.

3. Confidentiality and Disclosure

Your information remains strictly confidential, except where:

4. Storage, Security & AI Technology

As a telehealth-only practice, we prioritize digital security. We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, or disclosure.

  • Electronic Records: All client files are stored securely in encrypted, Australian-compliant practice management systems.
  • Telehealth Security: Video sessions are conducted via secure, encrypted platforms.
  • AI Scribe Technology: We use secure AI-assisted transcription tools to aid in clinical documentation. These tools are strictly vetted for compliance with Australian Privacy Principles. Profiles for these tools contain your first name, a pseudonym code in place of your surname, date of birth, gender, and email address. Upon request, this information can be fully de-identified or made anonymous. Audio recordings are processed in real-time, and instantaneously deleted when the session summary is generated at the conclusion of the session. No audio is permanently stored, and your data is never used to train public AI models.
  • No Paper Files: We operate as a paperless practice to minimise physical data risks.

5. Access and Correction

You have the right to request access to your personal information and request corrections if it is inaccurate, out of date, or incomplete. These requests must be made in writing. We will respond within 30 days.
